WHAT IT DOES FOR YOU

The AccuFund Employee Portal is a component in the AccuFund Accounting Suite that allows organizations to provide employees with access to organizational news and information through a customizable web interface. Employees can view the organization’s public news and events information as soon as they get on the portal home page. They can then login to view private, internal information and access the three modules it contains: the Employee Self-Service module, which allows them to view, change and print their personal and employment information; the Employee Time-Entry module, through which they can enter and view their time sheets; and the Report module for running financial reports and creating dashboards for viewing budget and ledger details in easy-to-view formats.

EMPLOYEE PORTAL

With the Employee Portal, organizations have the ability to select and deliver the information they want each employee to see. The Employee Portal can be configured to communicate information and events organization-wide or to individual departments and employees. Whenever an employee logs on to their Employee Portal page, they will see only the information that is intended specifically for them and their department. PDFs of documents such as health enrollment forms can be attached for printing or download.

In order to allow employees to use the Employee Portal, the organization needs to define two items on each employee's record:

  1. The Web Portal option, which will license the employee to use the Employee Portal. The Employee Portal license count is based on the number of Web Portal options selected on active employee records
  2. The email address, if the organization wants the employee to self-register on the Employee Portal.

EMPLOYEE SELF-SERVICE

With the Employee Self-Service module, employees can view and print their pay stubs. The employee will be able see the last 18 months of pay checks and can view the pay stub in the browser or click Print to display the whole check in a PDF.

The employee can also view and change their address, phone numbers, contacts in the organization, and withholding and benefits information. The employer can determine specifically which information can be viewed and changed and will require management approval. Time periods can be established whenever it is necessary to limit the availability of information or the opportunity to make changes. Approvals can be set up in the system for any employee changes that need to be reviewed and approved by a supervisor before being accepted into the employee’s record.

EMPLOYEE TIME ENTRY

The Employee Time-Entry module allows employees to enter their own time sheets and view, change and print their history of time sheets.

Employees enter their time sheets in Employee Time-Entry on a daily basis for a specified time period. They can include clock-in and clock-out times for breaks and a space is available for including notes to explain specific hours worked or overtime.

Once an employee completes and submits a time sheet, a multi-level approval process begins in which supervisors, department managers and other required approvers review, make any necessary adjustments and approve the time sheet. Each approval level can approve, deny, or make adjustments before approval.

Once a time sheet is approved by all approval levels, it becomes available in the Payroll module in the AccuFund Accounting Suite. Employees can view their history of time sheets and print a PDF report of their time sheets to a local computer.

REPORTS AND DASHBOARDS

The Employee Portal's new Reports module enables department managers to run their own reports on financials and ledger activity. They can also see reports that either they have scheduled to run or the finance department has scheduled to run for them.

With the Dashboards capability, employees can create customizable views of budget and ledger information depending on their administrative privileges. The Dashboards allow employees to take any data in the General Ledger and other modules in the AccuFund Accounting Suite that can be pulled into a standard report and configure it to generate pie charts, bar charts, line graphs, etc. Dashboards can be converted to a grid view instead of using a graphical view.

Multiple dashboards can be created for viewing current budget and trend lines for budget to actual over time. Each employee can customize their own dashboards and set up as many dashboards as they want. The dashboards have drill-down capabilities that allow users to double-click on a specific area of a dashboard and drill down to multiple levels of data.
